These terms outline the guidelines for ordering, payment, delivery, and other important details related to your wholesale purchase.
1. Ordering Process
- Placing an Order: Wholesale orders can be placed through our online store or by contacting our sales team directly. Orders are subject to approval based on inventory availability and credit status (if applicable).
- Minimum Order Requirements: The minimum order for wholesale customers order starts at 2,200 lbs, which equals one pallet. For larger needs, we offer 20ft containers that hold 450 bags of fonio (110 lbs/50 kg each). We also cater to bulk orders exceeding 50,000 lbs and can customize solutions to meet your requirements. Please provide your details, and we’ll tailor a solution for you.
- Order Confirmation: Once your order is placed, you will receive an order confirmation email. Please verify that all details (product quantities, delivery address, etc.) are correct. If any changes are needed, contact us immediately.
2. Pricing
- Wholesale Pricing: All prices are provided in U.S. dollars and are exclusive of shipping and taxes. Prices are subject to change based on market conditions, but we will notify you in advance of any price adjustments.
- Bulk Discounts: Discounts may apply based on order volume. Contact us for specific pricing on bulk orders or long-term partnerships.
- Price Adjustments: Prices may be adjusted in response to changes in market conditions, supply chain fluctuations, or commodity pricing. We will notify customers of significant price changes prior to shipment.
3. Payment Terms
- Net 30 Terms: Wholesale customers approved for Net 30 terms are required to pay invoices within 30 days from the invoice date.
- Eligibility: Net 30 terms are available after a credit review (How to Complete the Wholesale Credit Application Form). New customers may be required to pay in advance or with shorter payment terms until credit is established.
- Payment Methods: Payments can be made via bank transfer, check, or credit card (subject to processing fees).
- Late Fees: A late fee of 1.5% per month will be applied to any outstanding balance after 30 days. Payments not received within 60 days may result in the suspension of future orders and collection action.
- Early Payment Discount: A 2% discount will be applied to invoices paid within 10 days of the invoice date.
- Invoice Issuance: Invoices will be sent upon shipment of goods, specifying the due date, total amount due, and accepted payment methods.
4. Shipping and Delivery
- Shipping Costs: Shipping costs are separate from product pricing and will be calculated based on the destination, size, and weight of the order. These costs will be provided at checkout or upon request.
- Delivery Times: Delivery times vary depending on your location and the size of the order. Standard delivery is typically 7-10 business days, though this may vary during peak seasons or due to unforeseen delays.
- Packaging: All fonio grain is packaged in food-grade, eco-friendly materials to maintain the highest quality standards during transit. For bulk orders, we use sturdy pallets to ensure safe delivery.
- Risk of Loss: Risk of loss or damage to the goods passes to the buyer once the products are shipped. We recommend purchasing insurance for high-value shipments.
5. Returns and Satisfaction Guarantee
At Nafajama, we are committed to delivering premium-quality fonio and we stand behind the integrity of our products. Our Wholesale Return Policy is outlined below:
- Reporting Issues: You must inspect the product upon receipt. If you identify any issues related to the quality of the fonio or if the product arrives damaged, you must report these concerns within 72 hours (3 days) of delivery, with photos of the damage. Claims made beyond this timeframe will not be accepted due to the perishable nature of the product.
- Visible Damage on Delivery: For any visible damage upon delivery, ensure you document this with the carrier, take photos, and contact our customer service team immediately.
- Return Instructions: Please contact us at customers@nafajama.com to obtain a Return Merchandise Authorization (RMA) number and further instructions. Do not discard any damaged or substandard product before contacting us, as it may be necessary to ship the items back for investigation and analysis.
- Resolution: Once a quality or damage issue is reported within the 72-hour (3-day) window, we will either provide a replacement or issue a full refund, depending on the situation. We may also request the return of the product for quality control purposes.
- Quality-related Returns: If the return is due to a product quality issue or damage, we will cover the cost of return shipping.
- Non-quality Returns: If the return is due to reasons unrelated to product quality (e.g., buyer’s remorse or ordering errors), the customer is responsible for the return shipping costs.

- Quality Standards: Our fonio grain is hand-harvested, hand-washed, and meticulously hand-cleaned to meet the highest quality standards. We follow strict quality controls to ensure our products meet food safety and regulatory requirements.
- Packaging Specifications: Fonio is packaged in eco-friendly and food-safe packaging. For bulk orders, we ensure each pallet is securely wrapped and prepared for safe transport.
7. Account Setup and Credit Approval
- How to Apply for Credit:

- Business Information: Company name, address, and contact information
- Tax Identification Number (TIN)
- Bank References and Trade References
- Ownership Information: Names of owners or principals
- Submitting Your Application: Once completed, submit your application to customers@nafajama.com. After reviewing the application, we will notify you of your approval status.
- This form will ask for key business details, including:
- Credit Review Process: We will conduct a credit review based on the information you provide, and notify you within 5-7 business days of your approval status. Net 30 terms may be offered based on your creditworthiness.
- Credit Limits: We may set a credit limit based on the results of the credit review. If your application is approved, the credit limit will be shared with you before your first order is processed.

8. Sustainability and Sourcing
- Sustainable Sourcing: Nafajama is committed to sustainable farming practices in Guinea, where our fonio is grown. We ensure fair treatment of workers, respect for the environment, and community empowerment through our sourcing efforts.
- Ethical Practices: We support local farmers in Guinea by working directly with them, ensuring fair wages and long-term partnerships that uplift the communities where we source our products.
9. Dispute Resolution
- Payment Disputes: If you believe there is an error with an invoice, you must notify us in writing within 7 days of receiving the invoice. All other payments are due on the stated due date, regardless of the dispute status.
- Legal Action: If payment is not made after 60 days, Nafajama reserves the right to pursue legal action for recovery, including involving collection agencies or small claims court.
10. Confidentiality
- Confidential Information: Both parties agree to keep all business information, including pricing, order details, and financial data, confidential and not disclose it to third parties without consent, unless required by law.
11. Force Majeure
- Force Majeure: Neither party shall be liable for failure or delay in the performance of any obligation under this agreement due to causes beyond their reasonable control, such as natural disasters, strikes, or government regulations.
12. Modification of Terms
- Changes to Terms: Nafajama reserves the right to modify these terms at any time. Any changes will be communicated to customers at least 30 days in advance.
13. Governing Law
- Jurisdiction: These terms shall be governed by the laws of the state of Texas, United States. Any disputes shall be resolved in the courts of Travis County, Texas.
